CRS Insurance Brokerage made month-end reconciliation predictable

Applied Epic matches carrier statements to agency records and flags variances, so the team spends its time focusing on resolution rather than detection.

Challenge

Manual reconciliation strained people and processes

For CRS Insurance Brokerage, reconciliation had become a manual, spreadsheet-heavy process that depended on individual effort. Carrier statements arrived in different formats, and accounting staff compared them against internal records using spreadsheets and offline tools. Discrepancies often surfaced late in the cycle, which meant more investigation and follow-up.

As premium volume grew, so did the strain. Reconciliation cycles took longer, and visibility into variances was limited. Late variance detection affected reporting timelines, manual tracking raised the chance of oversight, and month-end close left little room for financial analysis.

Leadership knew that to keep growing without adding risk or headcount, the agency needed reconciliation that was less manual, more accurate, and able to scale, without disrupting the systems the team already used.

“We were ultimately trying to solve how to make our direct bill input simpler, cleaner, and far less mistake-prone. A lot of it was manual, and we knew we needed stronger automation in our billing processes. Since we were already using Applied products, adopting this solution was a seamless transition – it felt like a natural next step for our agency,” said Eric Johnson, Managing Partner.

“The recording process is definitely the simplest part of reconciliation now.”

Solution

Automated matching built into Applied Epic

CRS Insurance Brokerage moved to automated matching between carrier statements and its Applied Epic records. Instead of digging through reports to find discrepancies, staff see variances flagged automatically and spend their time resolving them.

Because reconciliation runs inside Applied Epic, the team can reference account details while working a carrier statement, without switching tools or re-creating data. “[Applied Epic Direct Bill Reconciliation] was the obvious choice for us because it’s so Applied Epic-friendly. Since we already use Applied Epic every day, having [Applied Epic Direct Bill Reconciliation] fully integrated just made sense,” said Kendall Howard, Senior Accounting Associate.

Onboarding was smooth, and the agency started seeing benefits early. Applied Epic remembers recurring patterns and prior statement behavior, which makes each cycle more efficient and consistent.

CRS Insurance Brokerage also sees the change as a way to move staff into more strategic work. “Our focus has been on how to elevate our staff. [Applied Epic Direct Bill Reconciliation] plays a big role in that by automating the manual entry and reconciliation work that used to take so much time. When technology handles those tasks, our team can grow into more strategic, higher-value work,” said Eric Johnson.

How Applied Epic helps

Statements, account records, and reconciliation history sit in one system, so the accounting team works from the same data every month.

Variances flagged early

Carrier statements are matched against agency records automatically, so discrepancies surface early in the cycle instead of at month-end.

Account details at hand

Staff check policy and account information while they reconcile, with no second tool to open and no data to re-key.

Fixes that carry forward

Policy numbers and corrections are saved for the next statement, so the team doesn’t solve the same discrepancy twice.

Results

Faster visibility and a more predictable month-end

Even with only some carrier statements mapped early on, CRS Insurance Brokerage saw efficiency gains right away. Manual reconciliation time dropped, and discrepancies became visible sooner.

Matching what account managers enter to the policy numbers on each statement is now much easier. “Being able to fix discrepancies and add policy numbers so Applied Epic remembers them going forward is huge – it makes the whole process more user-friendly for our account management team,” Kendall said.

With reconciliation inside Applied Epic, the agency has stronger financial controls, better accuracy, and a month-end process that is more predictable, more scalable, and less manual. As more statements are mapped and automated downloads expand, CRS Insurance Brokerage expects reconciliation to speed up further and free staff for higher-value work.
